Inside Out Contracts is one of the leading UK suppliers and manufacturers of furniture for the hospitality industry. Our client base includes interior designs, architects and project managers working on hospitality projects such as hotels, restaurants, bars, cafes and universities.

About the role:

You will be working alongside the managing director and will be responsible for the following main tasks:

  • Managing key projects alongside myself & Sophie – with dedicated clients assigned
  • Liaising with clients, suppliers and staff
  • Assisting with companies US growth plan – setting up a US entity & finding a US agent
  • Calculating costs for projects and negotiating on price when required
  • Preparing quotes, letters, presentations and reports
  • Organising client meetings at our London showroom & organising samples
  • Checking margins on orders and assisting with tracking sales figures & targets
  • Product selection- finding best match pieces from our website and or supplier network
  • Ordering office materials and liaising with external service providers
  • Booking transport and accommodation
  • Liaising with external service providers: eg Aircon, plumbers & electricians
  • Implementing and maintaining office procedures and administrative systems
  • Ensuring that company policies are up to date 
  • Managing budgets and negotiating cost-savings
  • Managing the organisation's HR, inc recruiting, new staff induction, logging staff holidays & sickness
  • Ensuring that company policies & company handbook are kept up to date
  • Implementing and maintaining office procedures/ administrative systems when appropriate
  • Organising company events – eg Lunch & learns, Company Meetings & training days
  • Arranging birthday gifts, end of month celebrations & team nights out

Expected qualifications and experience:

  • Can-do attitude
  • Ability to use initiative and work proactively
  • Previous office-based, secretarial, or administrative work experience is essential (min of 4 years)
  • Attention to detail
  • IT skills & knowledge of software packages Excel, Outlook, Word, etc.
  • Outstanding organisational skills
  • Ability to delegate tasks diplomatically to other members of the team in design & marketing
  • Clear and engaging communication with the team
  • Reliability and discretion dealing with confidential matters
  • Communication, negotiation and relationship-building skills
  • Initiative, leadership and the ability to ‘make things happen’
  • Problem solving skills
  • Budgeting skills & Adaptability
