Job Description

We are seeking an organised and proactive Finance/Team Administrator to provide high-quality finance and administrative support at Commercial Interiors UK. We are the Trade Association who represent suppliers to the commercial interiors sector and this role is ideal for someone who enjoys working in a collaborative team, can manage multiple priorities, and who takes pride in delivering excellent support to colleagues at all levels.

You'll play a key role handling a wide range of finance, administrative, organisational, and member focused tasks.

Responsibilities

Financial

  • Credit Control – for all CIUK and FIESTA transactions and ensure timely follow-up on unpaid invoices or payment issues.
  • Oversee invoicing processes for membership fees, events, and other services, enter all Invoices to Xero.
  • Reconcile payments via various methods (Direct Debit, BACS, credit/debit cards).
  • Prepare payments in Xero for approval and sign off.
  • Set up Purchase Orders and keep track of supplier payments, adding to Monday.com.
  • Act as key point of contact for Link Accounting queries.
  • Ensure all contact details for suppliers are correct and updated on Salesflare.
  • Support the annual external audit, sourcing documents and uploading these to the Audit portal and coordinate with internal stakeholders to gather necessary documentation for financial compliance and reporting.
  • Manage financial records related to membership transactions and assist in preparing financial reports.
  • Support corporate governance requirements by ensuring the organisation meets statutory deadlines and regulatory obligations.

Administration

  • Support the MD with preparation of Board and Council meetings, booking rooms, lunches and refreshments.
  • Book travel and hotels for the CIUK team when requested.
  • Be first contact for all telephone enquiries.
  • Organise all logistics to support CIUK events portfolio and act as key contact for the CIUK storage unit, visiting the storage unit when required.
  • Support Membership Manager by sending out membership packs to perspective members and setting up initial Teams meetings.
  • Set up meetings when required for MD & or Director of Editorial and Marketing. 
  • Ensure CRM and Monday.com records/information are up to date and accurate.
  • Provide administrative support across the organisation as needed.

Membership/Event Administration

  • Support the maintenance and updating membership databases to ensure compliance with GDPR regulations.
  • Support and update the members area of the Website when required.
  • Support administrative tasks for member events, including ticket payments, registration (when appropriate) logistical support and dietary requirements.

Website (CIUK & DI)

  • Keep the CIUK website up to date by adding and withdrawing information as appropriate.
  • Update Supplier Finder Profiles and support members in auditing and updating their profiles.
  • Upload and keep up to date all member vacancies.

Skills & Qualifications Essential:

  • Proven experience in a similar administrative role involving membership management or customer service.
  • Strong Organisational skills with attention to detail and the ability to manage multiple priorities.
  • Competence in financial administration tasks such as invoicing and payment reconciliation.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and CRM/database systems.

Desirable

  • Experience working in a trade association or small Organisation setting.
  • Familiarity with event coordination or marketing support activities.
  • Experience using XERO Finance package
