Commercial Interiors UK Design In Focus:
1. Booking & Payment
Booking form as formal commitment
The booking form is a formal confirmation of your Session for the Commercial Interiors UK (CIUK) Design In Focus Stage. By submitting the booking form, the member is agreeing to the following terms and conditions:
All Sessions are curated, not guaranteed by preference:
This is a curated programme; indicating a preferred Session does not guarantee allocation. Final Session times will be confirmed by CIUK.
The Sessions available and associated costs are as follows:
Tuesday 19th May, Wednesday 20th May, Thursday 21st May
- 10.00-11.30 (£1000)
- 12.30-14:30 (£1000)
- 16:00 onwards (£1800). Please note there will be no 16:00 session on the last day of Clerkenwell Design Week - Thursday 21st May.
Allocation of Sessions
Allocations are made based on:
- Preferences submitted
- Timing of response
- Overall curation of the programme
Invoicing and payment terms
CIUK will invoice in full once the booking form is submitted and the session has been confirmed. Any additional items (i.e. catering or filming) will be invoiced separately, following further details.
Payment will be due within 30 days.
Non‑payment may result in loss of Session.
2. Refunds, Cancellations & Changes
Non‑refundable fees
All booking fees are non‑refundable once the booking form is submitted and your Session is confirmed.
In some circumstances, CIUK will allow discretion to reallocate/swap sessions, but not to refund. Changes to Session time and format are subject to availability and at CIUK’s discretion.
Member cancellations / changes
While we strive to adhere to the agreed timings, we reserve the right to:
- Adjust Timings
- Change stage layout or AV configuration
- Cancel the programme or individual sessions for reasons outside of our control (e.g. venue issues, CDW changes, health & safety.)
We will use all reasonable efforts to provide a comparable alternative if changes are required.
3. What is included as standard
General:
- Use of raised stage in the CDW “Commercial Design in the Park” Pavilion for one session (e.g. 60–90 mins)
- Basic seating and stage setup in theatre-style for 40 people (audience) and 4 people on the stage.
- All sessions will be ticketed and registration will be managed by CIUK.
- All session data is available to the member who has booked that session, including email addresses.
- On‑site project management and Polly Peart as point of contact, plus other CIUK staff as scheduled.
Design, Branding & Promotion
- Standard CIUK‑branded lightbox backdrop where the client has not purchased the graphics package.
- Installation/removal of member-branded lightbox skin for the member’s session, should this be purchased at an additional cost.
- Inclusion in:
- CIUK’s promotional activity for the CIUK Design In Focus talk stage as a whole (campaign, social, email etc.), not an individual brand‑specific campaign.
- CDW’s talk‑stage listings / promotion (subject to CDW channels & policies).
- A set of digital assets will be provided to the member, aligned with the event visual identity (for your pre‑event promotion, social media, etc.)
Technical & Recording (AV & Lighting)
CIUK will provide the following under the standard fee:
- Appropriate PA and basic microphones.
- Freestanding screen. (The member will be responsible for providing compatible content & graphics by set deadlines.)
- Standard lighting.
We reserve the right to change AV hardware without changing the service level.
4. What is not included unless expressly purchased
Catering
- The Member may opt to pay for catering for their session. Choices will include breakfast offerings (pastries, juices, coffee), lunch options (wraps, sandwiches, salad pots), non‑alcoholic drinks, and a drinks/ alcohol package for evening receptions.
- We will work with Clerkenwell Design Week’s preferred catering partner to manage ordering and delivery.
- Full menu options, pricing and ordering instructions will be shared with all confirmed session hosts in March.
Custom graphics / signage
- Design and production of a printed skin for the large CIUK lightbox backdrop is available at £350+VAT costs. The design must include a CIUK header at the top, with the member’s branding beneath. The member is responsible for supplying pre-prepared artwork in a format to be confirmed by CIUK. The artwork will be printed by our designated supplier.
Filming / video packages
- Recording (capturing audio/video and producing a recorded file) is possible but will be an extra charge in addition to the included AV package. Pricing and additional information will follow in March.
Additional AV (e.g. Screen)
- Any additional AV beyond the standard AV package will not be included. The member will be responsible for providing compatible content & graphics by set deadlines.
Dedicated moderation
- If a moderator is required for a panel discussion, the moderator will be a CIUK representative and there is no guarantee of a specific individual.
- We will work with the member to secure an appropriate moderator.
- Moderation fee will be £350+VAT
What is included in the moderation package:
- Pre‑session briefing call
- On‑stage moderation/facilitation for the agreed session length
- Light content shaping of structure/flow (but not full content creation).
Usage rights
- Under the additional fee, the Member has permission to use footage on their own channels.
- CIUK reserve the right to use selected materials about the programme for CIUK promotional purposes.
5. Responsibilities & Promotion
CIUK will promote the programme of sessions on all appropriate marketing channels including newsletters, social media and CIUK and Design Insider websites. The member must promote their own session and be responsible for driving their own audience.
Member responsibilities
- Promote their own session via their marketing channels.
- Use CIUK/CDW‑provided assets and branding guidelines.
- Provide: Session title, description, speakers, imagery, and any required assets by given deadlines.
- Acknowledge that audience generation is shared, not solely CIUK’s responsibility.
6. Collateral Guidelines
The member may bring modest collateral such as postcards on chairs, small handouts.
The member may not bring:
- Pull‑up / pop‑up banners
- Freestanding branded structures
- Any additional large‑format graphics that conflict with the unified stage design.
7. Operational & On‑Site Conduct
Arrival & set‑up
The member agrees to arrive at the specified time before the session and follow CIUK on‑site instructions.
Adherence to schedule
Sessions must start and finish on time to allow for the next session to be set up.
Health & safety
The Member agrees to compliance with CDW / Pavillion On the Park H&S policies.
Damage & liability
The member will be responsible for any damage caused by them, their team or contractors to CIUK lightboxes, equipment, or the pavilion.
Code of Conduct
Members and their participants are reminded that their participation in the session reflects not only their own brand but also that of CIUK’s, and they are expected to act responsibly and in alignment with these shared values.
Delivery timelines
Members are required to meet all specified delivery timelines for session requirements, including content, assets, and any additional materials, to ensure smooth event coordination and compliance.
